Your AI workforce

Good work needs
someone following up.

Hire Sophie for clearer job briefs, Daniel for subcontractor coordination and Maya for finance administration. Give each colleague a defined job and keep the decisions that matter with your team.

Get the brief ready.

Helps gather the information a subcontractor needs to price an existing job.

Sophie Bennett

AI Enquiries Coordinator

What Sophie does

  • Checks for missing photos, access information and dates
  • Assesses whether the description is ready to price
  • Asks for clarification, then hands unresolved questions to you after two attempts

Example workflow

A job says 'bathroom needs doing'. Sophie helps ask which work is needed, what the photos show and how the property can be accessed.

You approve ordinary first contact with a client. Sophie does not set prices, promise dates or automatically turn every email into a job.

Keep the work moving.

Follows up on subcontractor prices and proposed dates, with a morning view of what needs attention.

Daniel Reed, AI colleague portrait

Daniel Reed

AI Operations Manager

What Daniel does

  • Finds eligible matches in your existing vetted subcontractor network
  • Shares eligible work according to your supervision settings
  • Follows up on outstanding quotes and asks awarded subcontractors for proposed dates

Example workflow

A subcontractor has not returned a price. When the follow-up conditions are met, Daniel can send a reminder and leave an activity record for you to review.

You retain price, award and booking decisions. A proposed date is not a confirmed booking. Quiet hours and activity limits apply.

Stay on top of the money.

Prepares deposit and overdue-payment actions for your approval.

Maya Collins, AI colleague portrait

Maya Collins

AI Finance Coordinator

What Maya does

  • Prepares a deposit action when the agreed-price and subcontractor-acceptance conditions are met
  • Prepares follow-ups for unpaid deposits and overdue invoices
  • Keeps money-related decisions with the supervisor

Example workflow

The subcontractor has accepted and the client price is recorded. Maya prepares a deposit action for review, using the deposit setting you chose.

Maya does not move money, set prices or choose your deposit percentage. Financial actions require approval. Her workflow follows fixed financial rules.

Hire. Set the rules. Stay in the loop.

Open AI staff in your operator account. Choose the colleague, appoint a supervisor and check the available settings before putting it on duty.

  1. Choose a job

Start with a task you already need help with. Your account permissions determine who can hire and supervise.

  2. Set the working style

Enquiries and Operations can use writing instructions within their fixed permissions. Finance follows fixed financial workflows. Quiet hours and activity limits apply.

  3. Review the work

Use the activity history and approval queue to see completed, proposed and failed actions. Pause a colleague when you need to.

Your questions, answered

What does hiring an AI colleague cost?

Account access follows your operator agreement. The AI staff workspace shows usage for the current month; review your licence and any usage charges during onboarding. There is no separate public price promised here for each colleague.

Do I need my own ChatGPT or Claude subscription?

Hosted AI staff run within Plan@Job. Connecting an external AI client through MCP is separate and depends on that client's setup and eligibility.

Does Auto mean everything happens without approval?

No. Autonomy settings govern eligible routine actions. Prices, awards, financial commitments and ordinary first approaches to clients have separate approval controls. A writing instruction does not grant new permissions.

Will every job receive an automatic follow-up?

No. Actions depend on job status, age, existing activity, eligible contacts, configured supervision and operating limits. The activity log shows the outcome. A missing prerequisite can prevent an action.
